DRAFT. This is a plain-English draft, written before launch. It has not been reviewed by a lawyer, it is not final, and nothing here is binding until we publish a final version and you accept it. We will tell you before it changes.
What we collect, why, who sees it, and how you can get it back or have it deleted. In plain English.
1. Who this is for
This notice covers three groups of people: visitors to this website, salons and barbershops that use Fairbooked, and the clients who book with those salons.
For salon and client data, the salon decides why the data is collected and we handle it on the salon's behalf. For website visitors, we decide.
2. What we collect
- If you fill in the switch form: your name, business name, email, mobile number, city, the system you use now, how many people take bookings, your rough monthly card volume, and anything you write in the message box.
- If you are a salon customer: your account and sign-in details, your salon's profile, staff, services and hours, and the clients, appointments, notes and payment records you put in.
- If you book with a salon: the name, email or phone number and booking details you give when you book.
- Technical data: your IP address, which we use to limit how often one connection can submit the switch form. It is held in memory for a short time and is not stored with your details.
3. What we use it for
- To reply to you when you ask to switch, and to help you move over.
- To run the booking, reminder, payment and reporting tools for a salon.
- To keep the service secure and to stop abuse, such as bots filling in forms.
- To meet our legal duties, such as keeping payment records.
4. What we do not do
- We do not sell personal information.
- We do not use a salon's client list to market to those clients ourselves.
- We do not use advertising trackers or advertising features on this website, and the booking and owner pages are not measured at all.
- We keep personal details out of our server logs.
5. Website analytics
The public marketing pages (not the owner app or a salon's booking page) use Google Analytics 4 to count visits and see which pages help people. It sets first-party cookies and sends Google an anonymised IP address and the pages you view. We switch off Google's advertising features and ad personalisation, and never send names, emails or phone numbers to it.
It does not load if your browser sends Do Not Track. You can also opt out everywhere with Google's browser add-on.
7. How long we keep it
- Switch-form details: up to 24 months if you do not become a customer, then deleted. Ask us sooner and we will delete them sooner.
- Salon and client data: for as long as the salon is a customer, and for 90 days after it cancels so that it can export everything. Then it is deleted, except records we must keep by law, such as payment records.
8. Your data is yours
A salon owns its client list and its other data, and can export all of it, free, at any time and for 90 days after cancelling. The same commitment is in the terms draft.
9. Your rights
You can ask to see the personal information we hold about you, to correct it, to withdraw your consent, or to have it deleted. If you are a salon's client, you can also ask the salon.
If you are in Canada and we do not resolve a concern, you can complain to the Office of the Privacy Commissioner of Canada. Write to us with any privacy question using the details on our contact page. We will name a privacy contact here before this notice is final.
10. Changes
This is a draft. We will update it before launch and tell customers by email before any change that affects them.
